  • CHARGES FOR FRONTAGE AND DEPTH: Stall and Exhibitor sites are charged per their frontage metre requirements, with the exception of Not for Profit stallholders who have a standard price.

    General Stallholders/Exhibitors cost is $75 per frontage metre

    Food/Ice-cream Trucks/Coffee Vans/Showbags cost is $90 per frontage metre – measurement must include from front of vehicle to towbar and back step/door opened.

    Part of per frontage metre will be charged at half the site metre cost. Eg 4.5m request for a foodtruck will be charged $405 (4 x $90 = $360 + $45 = $405)

    Please note a standard 3m frontage site may have a depth of up to 6m. Depth is not charged for and may be utilised as desired with the exception of vehicle/trailer parking, unless approved by the Stall Convenor.

    POWER REQUIREMENTS: Power is NOT included in the site charge. Power must be ordered separately in the power requirements section below. NOTE: All Electrical cords must have a valid current safety tag attached by a qualified person.

    VEHICLES: Vehicles are NOT allowed on or near a General Stallholders/Not for Profit/Exhibitors site. Permission may be granted upon request of the Stall Convenor up to 7 days before the Show. If successful, the vehicle registration information will be required and a pass given to be displayed on the vehicle. Vehicles MUST not be moved during the open hours of the Show without an escort of a Committee Member.

    ENTRY PASSES: Two free entry passes per day are provided to all stallholders/exhibitors. Four free entry passes per day are provided to Not-for Profit stallholders/exhibitors. Extra passes may be ordered in ‘Extra Entry Passes’ section below.

            • TERMS AND CONDITIONS FOR EXHIBITORS AND STALLHOLDERS – 2026

            • Registration:
              1. Complete the 2026 exhibitor/stallholder application form. (via our website)
              2. A current (at least to 13th July 2026) Public Liability Certificate of Currency is required.
              3. Food vendors must also have a current (at least to 13th July 2026) food licence and must have completed and provide copies of the appropriate Food Supervisor and Food Handler accreditation (vis Food Australia and New Zealand Standards 3.2.2A).
              4. A photo showing all the items to be sold/food menu.
              5. A photo of your current site set up – no older photos please.
              6. A short list/statement of the goods and/or services you will be providing.
              Conditions:
              1. All banners and marquees MUST be anchored down and able to sustain high winds (either pegged or with 15kg weights per leg).
              2. Fairy floss, dagwood dogs, waffles, doughnuts, toffee apples must not be sold.
              3. Standard external sites are 3 m frontage and up to 6 m depth. Depending on available space, approval will probably be given for larger sites, but cannot be guaranteed.
              4. Signage and banners can be displayed only within your allocated area.
              5. Only approved not-for-profit organisations may sell lucky numbers, raffles, lucky dips etc.
              6. All relevant Health regulations including provision of hand sanitiser if required and any direction given by a Queensland Health official during the Show.
              7. Electrical cords must have a valid current safety tag attached by a qualified person.
              Stall set up and dismantling:
              1. Bump-in will be on Friday 10 July between 7.00 am and 4.00 pm, unless otherwise previously arranged with the Stalls Convenor.
              2. Dismantling cannot commence before 4 pm Sunday 12 July, and Exit not before 5.00 pm.
              Further guidelines and requests for your co-operation will be provided leading up to the Show.
              Car Parking:
              Vehicles are NOT allowed to be left on or near a General Stallholders/Not for Profit/Exhibitors site once show has commenced. Permission may be granted upon request of the Stall Convenor up to 7 days before the Show. If successful, the vehicle registration information will be required and a pass given to be displayed on the vehicle. Vehicles MUST not be moved during the open hours of the Show without an escort of a Committee Member for emergency only.
              If you think you may need supplies please park outside the patron area, a buggy can assist with bringing stock in to stalls if required for top ups. Free car parking is available in the Exhibitors' car park, camping onsite can be accommodated upon request with prior approval.

              Sustainability at Samford Show:
              The Samford Show aims to have minimal waste and to be single use plastic free. Food vendors must use only compostable or recyclable containers, plates and cutlery. Other vendors must use only compostable or recyclable packaging, unless the Stalls Convenor has previously given a written exemption. All exhibitors and stallholders are required to remove waste and rubbish from their allocated areas during and at the end of the Show. Please break down boxes before adding to skip bins provided.

              Banned items
              Balloons
              Plastic: bags, cups, plates, straws, utensils;
              Polystyrene containers
              Other banned items: Drug related paraphernalia; pornographic or other offensive (in the Show Society's opinion) clothing; fake cigarettes, fireworks, fuel type fire/cigarette lighters, horns and trumpets, weapons including knives of any type, laser pointers, martial arts equipment, bows, arrows or other items that could be perceived as being a threatening weapon, novelties on sticks, pressure pack fart gas or similar, lurid (in the Show Society's opinion) playing cards or other items, pressure pack snow, water pistols over 150mms, silly string and similar items, stink bombs, bouncing beans, sling shots, bomb bags, water bombs, fluffy toys more than 30cm long, ball bearing guns, eight shot caps, pellet guns, pop/throw downs, potato guns, replica guns, roll caps, strip caps.

              Cancellation and refund policy:
              If the Show is cancelled (for example because of severe weather event), you will be given the option of either rolling over your application and fee to the next Samford Show, or receiving a full refund, although the Show Society reserves the right to retain no more than 10% of the fee to cover administration costs.
              If you cancel your booking for any other reason, the following will apply:
              The cancellation must be in writing to the Stall Convenor.
              Cancellation before 8th June 2026 will attract a full refund.
              Cancellation between 8 and 22 June 2026 will attract a 50% refund.
              Cancellation after 23 June 2026 will mean no refund.

              Acknowledgement:
              I have read and understood the Samford Show Society terms and conditions on this and the preceding page. I understand that if I sell any of the banned items listed above, or breach any other condition, I may be evicted from the Showground without compensation or refund of fees.


            • When your application has been approved, an invoice will be issued closer to the Show. The invoice must be paid in full within fourteen days of issue. If it has not been paid by then, approval may be cancelled.

              The Samford Show Society appreciates your interest in our Show; and we hope you have a prosperous and enjoyable weekend. We also welcome your suggestions for improvement, either by email to the address above, or by telling one of the committee members during the Show.
